Purpose:

The purpose of the Reapproval Settings is to allow customers to control when a spend plan needs to be sent for reapproval after certain changes are made. This gives customers flexibility to either approve the plan again or avoid reapproval depending on the changes they make.

Instructions:

There are scenarios where customers need to make changes to the values in an active spend plan. The following fields can be modified:

• Coding Row Tab
• Invoice Lines Tab
• Budget Tab
• Invoices Tab
• Payment Schedule Tab
• Approvers Field
• Reviewers Field
• Plan Reference Field
• Supplier Field
• Sum Type Field
• Currency Field
• Validity Period Field
• Payment Term Code Field
• 

Once any of these values are changed, the system may automatically trigger a reapproval process if the specific check box get ticked and changes are made related that ticked field in the spend plan, sending the modified spend plan for approval again. This behavior is determined by the Reapproval Settings.

How Reapproval Settings Work:

• The Reapproval Settings are designed to control whether the system sends the spend plan for reapproval after specific changes.
• If any of the checkboxes corresponding to the fields listed above are selected, and a user changes a value under that specific field, the system will automatically trigger the reapproval process.

Example:

If the checkbox for the Coding Row Tab is selected in the reapproval settings, and the user makes a change in the coding row of the spend plan, the system will automatically send the spend plan back for approval.

This ensures that changes made to critical elements of the spend plan are reviewed again by the necessary stakeholders.

Scenario Where Reapproval is Not Desired:

In certain cases, users may need to make changes to the spend plan but do not want the system to trigger reapproval. To prevent the system from sending the plan for reapproval after changes are made, the user can untick the checkbox for the relevant tab or field in the Reapproval Settings.

Steps to Prevent Reapproval:

1. Open the Reapproval Settings.
2. Untick the checkbox next to the field or tab that the user plans to modify (e.g., Coding Row Tab, Invoice Lines Tab).
3. Make the necessary changes in the spend plan.
4. Since the relevant checkbox is unticked, the system will not trigger reapproval.

This functionality ensures that the user can make changes to the active spend plan without it being sent for approval again, streamlining the process when reapproval is not necessary.

 

Note: User can first select the organization then tick and untick the check boxes as per the requirement.
