AP Automation - Import and Export Invoice Coding


Summary:

This article contains instructions for importing and exporting coding rows on invoices in AP Automation. 

You can import or export coding rows from/to an Excel file. When importing, you can append or overwrite the existing coding.

You can use the exported Excel file for easier editing of the coding rows.

With importing, you can easily import many coding rows so that you do not need to manually create the rows.

Instructions:

To export coding:

  1. Go to Tasks Invoice tasks.
  2. Click the desired invoice row to open the details.
  3. In the Coding section, click  > Export coding

The coding is downloaded to your system as an Excel file.

To import coding:

  1. Go to Tasks Invoice tasks.
  2. Click the desired invoice row to open the details.
  3. In the Coding section, click  > Import coding
  4. Find and select the Excel file to import from your system. 
  5. Select which of the following you want to do:
    • Append after existing rows - The existing coding remains the same, and the data from the imported file is added at the end of the coding list.
    • Overwrite existing rows - The existing coding is deleted and only the data from the imported file remains.
  6. Click Import.

The coding is imported and can be seen in the Coding section. 

Import unsuccessful?

If your import was unsuccessful, your imported file may have been in the wrong format. Make sure to import an Excel spreadsheet with your coding information. 

Pro tip: to get a template document in the correct format, first export your current coding from the invoice. Then add your new coding data to that file and re-import it to AP Automation.
