Overview:
Basware Insights provides a Scheduling Reports feature that allows users to automatically generate and receive dashboard reports by email on a recurring schedule. Scheduled reports can be configured to deliver dashboard content as PDF attachments and can be set to run daily, weekly, monthly, or according to other defined schedules.
Purpose:
Scheduling Reports enables users to:
- Receive dashboard reports automatically via email.
- Distribute key performance indicators (KPIs) and operational reports on a recurring basis.
- Share filtered dashboard views for management reviews, audits, and business reporting.
- Reduce the need for users to manually access Insights to retrieve report data.
Prerequisites:
To use Scheduling Reports, the user must have the Access to "Schedule Reports" user right permission assigned. Users can only schedule reports for dashboards available within their subscribed Insights tier.
How Scheduling Reports Work:
Users can create a scheduled report directly from an Insights dashboard. When configuring the schedule, users can choose between:
- Custom View: Uses the current dashboard with selected filters applied.
- Original Dashboard View: Uses the dashboard's default configuration and filters.
The report can include:
- PDF attachment containing selected dashboard sheets.
- Custom email subject line.
- Header text.
- Body text.
- Optional dashboard sheet image embedded within the email body.
Creating a Scheduled Report:
- Open the dashboard that you want to schedule reports for.
- Select the filters that you want to apply to the reports.
- On the top right corner, click Scheduling, and select Schedules.

- Click Add. The New schedule view opens.
- Enter name and description for the schedule.
- In Dashboard view, select which view to apply:
- Custom view: to use the current dashboard with the selected filters.
- Original dashboard: to use the original dashboard with default filters.

- In the Content section, turn on the PDF toggle and select the Sheet to include in the reports.
8. In the Dates section, set the schedule for the reports.

- In the Email section, define the content for the scheduled emails.
- Enter email subject line, header text, and body text.
- Select Include sheet in email body to include an image of the dashboard sheet in the email body.
- To send the reports as attachment select File attachment.

- Save the schedule or test it without saving:

- To save the schedule, click Save.
- To save the schedule and send the first scheduler report immediately, click Save and run now.
- To test sending the report without saving the schedule, click SEND TEST.
Managing Scheduled Reports:
After a schedule is created, users can:
- Edit the schedule
- View schedule details
- Deactivate the schedule
- Reactivate the schedule
- Delete the schedule
- Run test deliveries when required
