This document contains descriptions of new features in Basware Purchase-to-Pay 24.3 and its maintenance releases.

2 Procurement

2.1 Define budget exceeding at budget creation

Now it is possible to set at budget creation whether exceeding the budget is allowed or not. This applies to both manual and dynamic budgets. By default, exceeding is not allowed.

2.2 Export budgets from the list view

Now in Data management > Budgets, you can export to Excel budgets that are visible in the list view. The Excel will contain values from the visible list columns.

2.3 Re-trigger the requisition approval workflow on configured data changes

Earlier, the purchase requisition’s approval workflow always required re-approval if the requisition total increased on approval. Now, it is possible to configure per organization which field changes cause re-approval. Also with specific value fields, it is possible to set an allowed tolerance on how much the value can increase without the need for re-approval. The baseline from which activity to start tracking changes is set in the process configuration.

3.1 Forms at basket checkout for external webshop items

Checkout forms are now available with external webshop items on basket checkout. Checkout forms can be used when additional information must be collected from requestors upon checkout. To use checkout forms, a checkout view must be created. 

Only one checkout form is available per view. The following types of fields are checkout forms:

4 Networked AP

4.1 Show empty numeric values as blank in invoice and spend plan list views

If a numeric field does not have a value, the field is now empty in the invoice and spend plan list views. Earlier, “0” was shown in the numeric fields without values in the list views.

4.2 Assignment of invoice tasks can now be based on corresponding order details

Discrepancies such as variations in price or quantity within the purchase order-based invoices are typically addressed by designated business users associated with the corresponding purchase orders. Previously, customization was required to enable automatic assignment of recipients for manual invoice tasks. Now, the solution has been enhanced to allocate invoice tasks, such as header review and header approval, to specific user roles, including “Buyer,” “Owner,” “Reference person”, and “Other.” The system can assign manual invoice tasks to all connected users or only to those who are linked with the purchase order lines that have discrepancies. Having the resolver linked to the manual task streamlines the process by populating user selections within the user picker interface during manual assignment. If matching purchase order based user resolver is not activated for your organization yet, and you would like to activate it, please contact your Basware consultant or Basware Support

4.3 Enhanced visibility to individuals associated with corresponding matching purchase orders

Visibility into users that are associated with the matching purchase orders has been improved by incorporating user information into the purchase order details. The matching purchase orders can be linked with specific roles such as “Buyer”, “Owner”, “Reference person”, and “Other”. The system automatically populates each user role where one or more users have been designated. This enhancement facilitates the resolution of discrepancies between invoices and matched purchase orders. If there are questions about the purchase order, it enables users to easily identify other users that may have relevant information about the order.

If the user information is not part of the matching purchase order’s details in your organization, the user information is left empty in the purchase order details view. If you would like to start enjoying from the benefits of this feature, please contact your Basware consultant or Basware Support.

4.4 Extract user right report from P2P Admin

With this enhancement, the users can now export user right report to Excel from Basware P2P Admin. The user right report is provided from the Basware P2P database.

4.5 Hide Basware personnel from User Management

The dedicated Basware personnel can log in to P2P to perform support tasks. For this, user accounts with predefined user rights are created for them. These users are not shown on the user management nor administrators pages anymore by default. Basware personnel users are shown and they can be managed when the “Manual activation of Basware users” feature is enabled. The login history of Basware personnel can be seen by having the “View full login history user” right granted.    

4.6 Professional view for spend plan task details

The desktop-optimized task details view is now available for spend plan documents. It enables the reviewers and approvers to see more information about their spend plans at once. Earlier this view was available only in the list view. With the new professional view, the users can experience the same powerful interface as the AP Pro users.

Example of the new details view for a schedule-based spend plan:

Spend plan reviewers and approvers can now open multiple spend plans simultaneously and take actions on them. After completing an action, the user is automatically navigated to the next spend plan. 

The new professional spend plan details view for the tasks is configurable. It’s possible to configure the visibility and positioning of the fields, even though they will remain non-editable. The configuration can be found from Configuration tool, in Invoicing > Entities and screens > All screens > Spend plans > Spend plan details > All screens. If you would like to change the configuration and don’t have access rights to the Configuration tool, please contact your Basware consultant or Basware Support.

Users can enable this new professional view by going to User settings > Other settings > Invoice and spend plan views in desktop mode and selecting Professional view. This is the existing setting that activates the professional views also for invoices.
