Instructions for moving a user from one organisation to another in Basware Portal when required permissions cannot be granted in the current organisation.

Description
In some cases, it is not possible to assign the required privileges to a user within their current organisation in Basware Portal.
If the customer agrees, the user can be moved to another organisation where the appropriate permissions can be applied.

Prerequisites
• Customer has approved the user move
• Support agent has access to both source and target organisations
• User already exists in the system

Procedure
1. Navigate to the source organisation (current organisation of the user)
2. Locate the user and select:
More Actions → Copy to Clipboard
o A confirmation message will be displayed
3. Navigate to the target organisation (where the user should be moved)
4. Select:
More Actions → Move Users
5. Complete the move using the copied user information by clicking Move Users

Result
The user is successfully moved to the target organisation and can be assigned the required permissions.

Important Information
• Always confirm customer approval before moving the user
• The user will no longer belong to the original organisation after the move
• Verify and update user permissions after the transfer

Internal Notes (For Support Use Only)
• This action is typically used when role/permission assignment is restricted at the organisation level
• Ensure that moving the user does not impact existing workflows, approvals, or invoice visibility
• If the user has historical data (e.g., approvals, invoices), validate with the customer whether these need to remain accessible
• In case of issues after the move, check user synchronisation and role assignments in the target organisation
• If Move Users option is not visible, verify user admin rights in the portal
