1 Introduction

This document contains descriptions of new features in Basware Travel & Expense 23.4 and its maintenance releases.

2 New Feature Descriptions

2.1 New Edge

2.1.1 Ability to “Approve” a Document from the Task list

Previously, the approvers have been able to approve a document directly from the task list without opening the document in the details view. With this enhancement, it is now possible to hide the Approve button from the task list, so that the users must open the document in the details view to before approving it. If the Approve button is hidden, the Document ID and Date columns are visible. Reimbursable column is always shown to the approver in the task list.

To hide the Approve button, an admin user can set TASK_LIST.APPROVAL_ON_LIST = false in the application settings. 

2.1.2 Ability to edit the dimensions while approving the document

It is now possible to allow the approvers to edit dimensions. This enables faster approval of the documents.

To enable editing, an admin user must set the following parameters in the application settings:

2.1.3 Attachment Upload Naming Changes

When a user uploads a new receipt for a document in TEM, the naming of the file has been enhanced. Previously, it was difficult for the user to identify the receipts because the file names were not meaningful. Now the following rules are applied to the naming, so that it is easier for the users to identify the files and attach them correctly to the documents:

2.1.4 Creating Group Travel claims in Edge.

It is now possible to create a group travel document with the new TEM user interface. A group travel document feature enables creating a document for a group of people at once. This is useful when people have traveled together.

To create a group document, the user right “OIKEUS.RYHMAMATKALASKU” is required. The users with group document rights have a Group document action available in the actions drop-down menu on the document details page.

When Group document is selected, the group document dialog opens. In the dialog the user can add and remove employees to/from the group document.  After selecting the employees, the user can either:

2.1.5 Editing your personal information

The users can now edit their personal information in TEM. After logging in, the users can view their information in User Settings > My information.

2.1.6 Enhanced search for reviewers

Previously, the reviewers were able to search only for the documents that they had handled themselves. Now the search has been enhanced so that the reviewers can also search for documents handled by other reviewers. This enables faster processing of the documents, and is useful, for example, when acting as a backup person.

The reviewer can start searching in the home page by clicking Search from all documents link, or in the Search page > Tasks tab by selecting All documents from the search type selection.
The search page has all the same filters than the search page in TEM Admin, and the search results are the same set of documents than in TEM Admin.

After searching something, the page remembers the selected filters, the search results, and the order.

2.1.7 Receipts and attachments list sort order

Previously, when a user created a new document in TEM and added several attachments, the attachments were not sorted by the attachment number. Now the receipts and attachments are numbered and sorted in the same order that they are added to the document. This makes it easier for the user to identify the attachments that they have added.

The document lists have been enhanced so that the users can now sort the lists by clicking the column headers. Previously, sorting was possible only in the task lists.
