1 Introduction

This document contains descriptions of new features in Basware Travel & Expense 25.2 and its maintenance releases.

2 New Feature Descriptions

2.1 Web client

The document search in WebAdmin has been updated to match the Administration and Basic data pages. It now includes the same document filters, sorting, and customization options.

 

2.1.2 VAT refund reports can be created in WebAdmin

Users can now access and create VAT refund reports in WebAdmin. Previously, this was possible in WinAdmin only.

2.1.3 Vocabulary for localizing customer data in WebAdmin

Users can now customize and localize terminology for customer data in WebAdmin. Vocabulary maintenance is enabled by default for users with an admin role.

 

 

 

2.2 Edge

2.2.1 Capturing data from receipts

When a new receipt (image or PDF) is uploaded and OCR is enabled, the Extract from image button becomes available. Clicking this button automatically extracts receipt details, reducing the need for manual data entry.
TEM processes the text to identify currencies, amounts, and dates. Additionally, it is possible to configure expense type suggestions based on receipt information.

After processing, a dialog box appears displaying all identified values. The user can select the correct values or clear the suggestion if no correct match is found. Clicking Validate in the dialog box applies the selected values to the receipt data fields Users can manually edit these fields before saving the receipt if needed.

Note: Enabling this feature requires consultant work.

2.2.2 Displaying all dimensions in the document header

A Show all link has been added to the Dimensions section on the document details page. When you click it, all dimension groups (such as project and cost center.) will appear on the document header page. This will stay visible throughout your session. When all dimension groups are visible, a Show less link will appear. Clicking Show less will reduce the view to just three dimensions. The button is not visible if there are three or fewer dimension groups in use.

 

 

2.2.3 Enhanced dimension visibility

If the dimensions for a travel day, expense, or vehicle usage differ from those in the document header, a Show dimensions link appears on both the list and details screens. Clicking the link opens a pop-up displaying the lower-level dimensions.

 

Users can now change the visibility of the dimension names with a new option Show dimension names in lists in User settings > General settings.
When this option is selected, also the dimensions names are displayed in the dimension list. The selection applies also to coding. By default, only the dimension codes are displayed without the names.

 

 

2.2.4 Filtering recipients by unit

Users who are allowed to modify the recipients of a TEM document (for example, reviewers and approvers) can now filter recipients by unit. This helps users quickly find the right recipient.

This feature is controlled by the new setting MOBILE.RECIPIENT_UNIT_FILTER in Basic data > Application settings. The values are:

When value is 1 or 2, the recipient’s unit is also shown in the recipient selection list.

 

 

 

 

2.2.5 Grouping expenses by expense group

You can now choose to group expenses by expense group using the new setting in User settings > General settings.

By default, expenses are grouped by date, but selecting this option will organize them by their expense group instead.
