Summary:
Basware Message can transmit individual invoices but also pair them with attachments.
In the sending phase, it will combine invoice + attachment and send them as one.
Checklist:
The program can transmit attachments either by manually or automatically.
Please check which version suits you best.
Resolution:
Guide 1:
Adding attachments manually.
- Open Basware Message and click on Configuration;
- In the Options tab, set the Attachments option to Interactive;
- Click OK to save your configuration;
- Press on Start Now. Your will see a preview of your document and by pressing ADD you insert additional PDF or Tiff files to this document;
Guide 2:
Adding attachments automatically.
Option 1:
Each invoice and attachment together in a subfolder.
- Open Basware Message and click on Configuration;
- In the Options tab, set the Attachments option to Automatic;
- Also enable the checkbox Documents are organized in subfolders;
- With this option, all your invoices must have a name pattern (for example: all the invoices must start with Re or Rechnung);
- Declare this naming pattern in the Identifier field (for example if you send PDF invoices and all your invoices start with RE, the configuration must look as shown below.
The attachments that are in the same subfolders can have any name as long as they do not start with the same naming convention);
- This way, Basware Message will look into each subfolder and take search for the invoice that fits the naming convention and the rest of the files will be considered attachments;
Option 2:
Having a separate folder for attachments.
- Open Basware Message and click on Configuration;
- In the Options tab, set the Attachments option to Automatic;
- Create an attachment folder and insert the path in Basware Message;
- The files will be matched either if the invoice and the attachment have the same name (for example :invoice name is Inv1234.PDF and the attachment is name Inv1234.pdf) of if a defined number of first characters match (for example: invoice is named Inv1234.pdf and the attachment is named Inv1234567.pdf. If the option is set to match just the first 5 characters it will look into both folders for the invoice who's name starts with Inv12 and the attachment who has the name starting with the same characters);
- For this option, the Identifier in the name filter can be erased and left empty;
